Championing Cloud Print Management: Case Study for ETI

With a forward-looking IT strategy, ETI’s IT Manager, sought to modernise the company’s IT and print infrastructure to support the ambition for digital transformation, reduce costs and enhance performance.

The Challenge

To help implement the ambitious plans to transition ETI from traditional on-premises IT infrastructure to the cloud, ETI partnered with Tailor Made Technologies. As their Alliance Partner, IT Document Solutions (ITDS) worked closely with Tailor Made to help identify the key challenges currently faced by ETI. ETI’s existing print management system, supplied by a previous provider, proved insufficient in terms of scalability and ease of use. The print fleet had grown unwieldy, particularly with multiple high-cost, high-maintenance and aging A3 devices. In addition, the company needed to maintain essential print, copy, and scan access across the company. Workflow inefficiencies, especially around document scanning and storage, were hampering productivity, and there was no efficient way to scan directly into Microsoft SharePoint with ease or security. Furthermore, the IT department lacked centralised oversight of print usage and volumes, making cost control and administration cumbersome. In short, ETI required a modern, cloud-based print management solution that simplified configuration, empowered users, and delivered visibility and control.

The Solution

Based on an audit and our recommendations, ETI selected a Ricoh solution integrated with Vasion Print (formerly PrinterLogic). This cloud-based platform met ETI’s needs for affordability, manageability, and digital transformation. The implementation included reducing the number of A3 printers and the deployment of Vasion Print to enable seamless, secure scan-to-folder workflows, particularly into Microsoft SharePoint. The centralised cloud dashboard gave the business full visibility across the print estate and simplified configuration and user access management.

The Results

Over a year since deployment, ETI has experienced transformation of its print operations. Users can now scan documents directly into SharePoint effortlessly, speeding up workflows and reducing manual handling. The rationalisation of hardware has lowered overall printing costs, while Vasion Print’s cloud control gives ETI comprehensive monitoring of usage, volumes, and device performance in real time. End users report a smoother, more reliable experience with print, copy, and scan functionality, delivered with minimal disruption. The solution’s cloud-first design ensures that ETI’s print infrastructure can scale alongside their evolving IT strategy, offering a future-proof platform that supports both current needs and growth.
